30 Days Return Period

By the time a defective batch reaches your customers, it is already too late and ten times more expensive to fix. A flaw caught at the factory costs cents to correct; the same flaw caught after shipping costs you the return freight, the refund, the replacement unit, the negative review that suppresses your listing for months, and the customer who never comes back. Quality control is not paperwork — it is the cheapest, highest-leverage insurance in the entire import chain, and the one step amateur importers skip because the factory "seemed reliable."

Egent3's QC Inspection puts a trained, independent inspector physically inside the factory to verify your goods against your specification before you release the balance payment and before a single carton leaves China. We inspect to internationally recognized AQL (Acceptable Quality Limit) sampling standards, check function and packaging, verify quantity, and deliver a photo-documented report that gives you the objective evidence to ship, hold, or reject — while you still have full financial leverage over the supplier.

This is the firewall between your supplier's production line and your brand's reputation.

The Challenge

Trusting a factory's own quality claims is a structural mistake: the factory is paid to ship, not to reject its own output, so its incentives are opposite to yours. Even an honest supplier has bad days — a sub-supplier swaps a material, a night shift runs loose, a humidity change warps a finish — and these only show in the actual production lot, never in the golden sample that won the order. The gap between approved sample and shipped reality is exactly where disasters live.

Inspecting blind doesn't work either. You cannot check 5,000 units, and checking 50 random ones tells you nothing statistically reliable. This is why professional QC uses AQL sampling per ISO 2859-1 / ANSI Z1.4: a defined sample size based on lot quantity, with pre-agreed acceptance/rejection numbers for critical, major, and minor defects at chosen AQL levels (commonly 0 critical / 2.5 major / 4.0 minor). This turns "it looked fine" into a defensible statistical pass/fail.

And timing is everything. Inspect before final payment and before shipment and you hold all the leverage — the factory fixes or reworks because it hasn't been paid in full. Discover the same defects after the goods land in your warehouse and your only options are eating the loss or fighting a supplier who already has your money and your goods are an ocean away.

What's Included

  • Inspection criteria & checklist development. Before the visit we build a product-specific inspection checklist from your specification and approved golden sample: dimensions and tolerances, materials, colors (against Pantone/physical reference), workmanship standards, function tests, labeling, and packaging requirements. A precise checklist is what makes the pass/fail objective rather than the inspector's opinion.
  • AQL sampling plan definition. We set the sampling plan to ISO 2859-1 / ANSI Z1.4 — sample size by lot quantity and inspection level (typically GII), with agreed AQL thresholds for critical/major/minor defects (e.g., 0 / 2.5 / 4.0). This defines exactly how many units are pulled and how many defects trigger a rejection, so the result is statistically meaningful and contractually defensible.
  • On-site product inspection. A trained inspector physically attends the factory and randomly pulls the AQL sample from finished, packed goods (not a staged batch), inspecting each unit against the checklist for visual and dimensional conformity, classifying every defect by severity.
  • Quantity & conformity verification. The inspector verifies the actual produced/packed quantity against your purchase order and confirms the product matches the approved sample and spec — catching short-shipments and silent substitutions before they're your problem.
  • Function & safety testing. Where applicable, the inspector runs on-site functional tests — power-on and operation for electronics, mechanical action for moving parts, fit and assembly checks, and basic safety checks (sharp edges, secure components) — replicating how the customer will actually use the product.
  • Material & workmanship assessment. The inspector checks materials against spec, assesses build quality (seams, joints, finish, print/color accuracy), and flags cosmetic and structural defects, with each issue photographed and severity-classified per the AQL scheme.
  • Packaging, labeling & drop testing. We verify retail and export packaging, barcodes/UPC, country-of-origin and compliance labeling, carton markings, and quantities per carton — and where relevant perform a carton drop test to confirm the packaging survives transit, since damage-in-transit is a hidden defect that surfaces as customer complaints.
  • Barcode & marketplace-compliance checks. For Amazon/retail-bound goods we confirm FNSKU/UPC labels scan correctly and packaging meets marketplace prep requirements, heading off the costly rejections and relabeling fees that occur at the fulfilment center.
  • Photographic evidence & detailed report. Within 24 hours of inspection you receive a comprehensive report: AQL result (pass/fail with defect counts by severity), quantity verification, function-test outcomes, and extensive high-resolution photos of both conforming product and every defect found — the objective evidence behind the verdict.
  • Clear ship / hold / reject recommendation. The report concludes with an unambiguous recommendation and, on a fail, the specific defects requiring rework — giving you the leverage and the exact talking points to require the factory to fix the batch before you pay the balance.

Our Methodology

Phase 1 — Criteria & Plan. We build the inspection checklist from your spec and golden sample and define the AQL sampling plan and defect thresholds with you, so the standard is set objectively before anyone enters the factory.

Phase 2 — Scheduling. We coordinate with the supplier to schedule the inspection at the right production stage — typically pre-shipment when goods are 100% produced and at least 80% packed — and confirm factory access.

Phase 3 — On-site Inspection. The inspector attends, randomly draws the AQL sample, and works the full checklist: visual, dimensional, functional, material, quantity, packaging, and labeling — classifying and photographing every defect.

Phase 4 — Evaluation. Defect counts are tallied against the agreed AQL acceptance/rejection numbers to produce an objective pass/fail, with quantity and packaging conformity confirmed.

Phase 5 — Reporting. Within 24 hours you receive the full photo-documented report and a clear ship/hold/reject recommendation, with rework specifics on any fail.

Phase 6 — Leverage & Follow-up. On a fail we help you communicate the required corrections to the supplier and can re-inspect after rework, so you only release payment and ship once the batch genuinely conforms.

Who This Is For

This service is for any importer placing a production order they can't afford to have go wrong — first-time importers verifying an unproven supplier, established sellers protecting a high-volume SKU and its review score, and anyone shipping into Amazon or retail where a non-compliant batch triggers expensive rejections. It's essential before any sizable balance payment, and especially when you've never physically seen the production line behind your goods.

Results & ROI

A defective batch that ships routinely costs 10x or more to remediate versus catching it at the factory: return freight, refunds, replacements, and review damage that can suppress a listing's sales for months. For a 3,000-unit order, a 5% defect rate that reaches customers means 150 returns, the associated refunds and freight, and a review-score hit worth far more than all of it — losses that a single inspection costing a fraction of that prevents. Pre-payment inspection also preserves your negotiating leverage: factories that know an independent inspector is coming run tighter lines, so quality improves before the inspector even arrives. The ROI math is rarely close — QC is the cheapest insurance in the chain.

Why Egent3

As the world's #1 cross-border e-commerce service provider, Egent3 inspects with independence and rigor the factory's own QC can never offer — our inspector works for you, on the floor, before your money is released. We inspect to recognized AQL/ISO 2859-1 standards so results are statistically sound and contractually defensible, not one person's impression. Our 24-hour photo-documented reporting gives you the evidence and the timing to force corrections while you still hold the balance payment. And because we sit across sourcing, sampling, and fulfilment, your inspection is measured against the exact golden-sample benchmark your order was built on.

Frequently Asked Questions

What is AQL and which level should I use?

AQL (Acceptable Quality Limit) is the international sampling standard (ISO 2859-1 / ANSI Z1.4) that defines how many units to inspect from a lot and how many defects of each severity are acceptable. The common consumer-goods setting is 0 critical / 2.5 major / 4.0 minor, but we tune it to your product and risk tolerance — tighter for safety-critical or premium goods. We'll recommend the right level for your category.

When during production should the inspection happen?

The standard and most valuable point is pre-shipment inspection, when goods are 100% produced and at least 80% packed — late enough to judge final quality, early enough that you can still withhold the balance and require rework. For large or high-risk orders, an additional during-production inspection can catch systemic issues even earlier.

What happens if the inspection fails?

You get an objective, photo-backed fail with the exact defects classified by severity — and crucially, you still hold the balance payment, which is your leverage. We help you require the factory to rework or replace the defective units, and can re-inspect after correction so you only pay and ship once the batch genuinely conforms.

Is the inspector really independent from the factory?

Yes — that's the entire point. The inspector works for you, not the supplier, and has no incentive to pass marginal goods. This independence is what separates a real inspection from the factory's self-report, which is structurally biased toward shipping whatever was produced.

Can you check Amazon FBA prep and barcode compliance?

Yes. For marketplace-bound goods we verify FNSKU/UPC labels scan correctly, packaging meets prep requirements, and carton markings are right — preventing the rejections, relabeling fees, and delays that otherwise hit at the fulfilment center after you've already paid to ship.

How fast do I get the report?

Within 24 hours of the inspection you receive the full report — AQL pass/fail, defect counts, quantity verification, function-test results, and extensive photos — so you can make the ship/hold/reject decision quickly while production timing still gives you leverage over the supplier.

Never release a balance payment on a batch you haven't verified. Egent3 puts an independent inspector on the factory floor and hands you the evidence to ship with confidence or reject with leverage — before it's too late and ten times more expensive. Schedule your QC inspection today.
